A day school hands the child back at three o'clock. A residential school does not, and almost every administrative difference follows from that one fact. The school is accountable for where a student is in the evening as well as the morning, for what was charged for board as distinct from teaching, and for who is entitled to sign a child out on a Sunday.

Software written for a day school models none of this. It takes attendance once, treats the fee as one number, and assumes the parent is a short drive away. A boarding school accounts for its students at more than one point in the day, and the evening count is the one that matters most. A system that models attendance as a single morning mark per student cannot represent the school's actual duty of care, so the real record stays in a register.

Tuition, hostel, mess and consumables are different heads that rise at different times, and a parent querying a bill is usually querying one of them, not the total. A school that cannot show the heads separately spends its time reconstructing the bill instead of answering the question.

Parent and guardian are not the same person

Boarding students commonly have a local guardian who can be reached in hours when the parent cannot. If the record holds only the parent, the school is calling a number several states away about something that needed a decision this afternoon.

Distance makes the portal the relationship

A parent who lives far away cannot drop in at the office, so whatever they can see for themselves is the whole of their visibility. Attendance, fees and results in a portal they can open at any hour is not a convenience for these families, it is the substitute for being there.

Why boarding schools keep a paper register alongside their software

Almost every boarding school that has bought school software still runs a paper book for something. It is usually the movement register or the outpass, and the reason is always the same: the software had one place to put attendance and one place to put the fee, and the school's reality needed several.
